TalentWorld is recruiting a Receptionist/Executive Assistant for one of our partners in Oakville.
What’s in it for you:
- Full-time, permanent position
- Competitive salary: $50,000–$55,000
- Monday to Friday, 9:00 a.m.–5:00 p.m. (with extended hours during tax season)

- Act as the first point of contact for clients, visitors, and calls, providing a warm and professional welcome.
- Manage executive schedules, appointments, and correspondence efficiently.
- Assemble tax returns, year-end reporting packages, and other documentation.
- Handle scanning, copying, and archiving documents in a virtual filing system.
- Support various administrative tasks, including preparing reports, coordinating meetings, and maintaining office supplies.
- Manage timesheets for 7–10 team members and oversee a VoIP phone system.
- Review and ensure accuracy in others’ administrative work.
- Order office supplies and maintain an organized, presentable workspace.
- Use MS Office, including Word, Excel, and Outlook, to manage tasks effectively.
- Proven experience as a receptionist, executive assistant, or in a similar administrative role.
- Strong organizational and multitasking skills.
- Exceptional verbal and written communication abilities in clear, fluent English.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with Sage 50, QuickBooks, and Caseware Working Papers is an asset.
- Positive, professional demeanor with excellent interpersonal skills.
- Ability to handle confidential information with discretion.
- Must live within a 30-minute commute of the office.
